Depth of the ERP connection

Quadient AP carries native two-way integrations with QuickBooks Online, Xero, NetSuite, Sage Intacct, Sage 50, Sage 300, Rent Manager and Jonas Construction. This is a real strength of the platform. How approvals are routed

Quadient AP uses configurable business rules to route POs, invoices and payments. Stampli routes around a per-invoice comment thread. AutoPayables uses one dollar threshold: below it an invoice auto-approves, at or above it lands in the approval inbox with a full audit log. Simple, and we say so rather than implying more.

Whether it moves the money

Quadient AP, Tipalti, AvidXchange, BILL and Stampli all execute payments. AutoPayables records and allocates payments but does not send them. If you want one system to approve and pay, that rules us out, and we would rather you learn it here than in week three of an implementation.

Coding granularity

Every AutoPayables invoice line carries its own GL account, so a single invoice can split across several accounts without a workaround. Teams that need job, property or cost center coding create a GL account per job and code the lines to it. That line-level control is the thing we do better than tools that code at the header.

Audit defensibility

Ask every vendor to show you the approval history export, not the approval screen. AutoPayables stores each submit, approve, reject and comment with the user and timestamp. That record is what an auditor asks for, and it is worth checking before you sign anywhere.

Pull your real numbers first

Count invoices per month, distinct approvers, and how many suppliers you pay outside the United States. Those three figures decide most of the shortlist before you talk to anyone, and every quote you receive will be built on them.

Test with your worst invoices

Collect twenty invoices that genuinely cause problems: poor scans, unusual line item layouts, vendors whose names never parse correctly. Run them through each platform. Accuracy against a vendor's own clean sample tells you nothing useful.

Ask what is not included

For every quote-only vendor, ask directly whether implementation, ERP connector configuration, training and support tier are inside the annual figure. In this category they often are not, and that is where a comfortable quote becomes an uncomfortable one.

Check the exit before the entry

Confirm how you would get your vendor master, invoice images and approval history out, and what notice period applies. AP contracts commonly auto-renew, and audit obligations outlive the subscription.

Note the pattern in that first column. Five of the six platforms in this category will not tell you the price without a call. That is the single biggest practical difference between the enterprise-sales AP vendors and the self-serve ones, and it matters more to a 30-person finance team than any individual feature.

How much does Quadient AP cost?

Quadient AP does not publish a price. Capterra and Software Advice both list it as "contact vendor for pricing" with custom quotes built per module, and neither lists a free trial or a free version. Quadient sells four modules separately: Purchase Orders, Invoices, Expenses, and Payments. Your quote depends on which modules you take, your user count, and your monthly invoice volume.

Quadient's own published guidance on AP automation cost puts the general category range at roughly $2,000 to $50,000 or more per year, with high-volume multi-entity deployments exceeding $100,000. Treat that as the category, not as a Quadient quote. Ask specifically whether implementation, ERP connector setup and training are inside the annual number or billed separately, because they frequently are not.

Quadient AP vs Tipalti: which is better for AP automation?

Tipalti is the stronger choice if you pay suppliers outside the United States. It handles multi-currency payouts, supplier tax form collection including W-8 series, and payment methods across a large number of countries. Quadient AP is the more natural fit for a domestic mid-market company already running QuickBooks Online, Sage Intacct, NetSuite or Xero, where the value is PO through payment inside one tool rather than cross-border payment rails.

Both are quote-only. Both require a demo before pricing. Tipalti is generally understood to carry a platform fee that puts it out of reach of smaller teams, so if you are under roughly 200 invoices a month, Quadient AP or a self-serve tool will usually be the shorter conversation. Quadient AP vs Stampli: how do they compare?

Stampli's design center is the approval conversation. Every invoice carries its own comment thread, so the back and forth about which cost center an invoice belongs to happens on the document rather than in email. Quadient AP is built around business rules and routing: you configure who approves what and the system moves it. If your delay is people arguing about coding, Stampli addresses that directly. If your delay is manual entry and inconsistent routing, Quadient AP addresses that.

AvidXchange vs Beanworks: which fits a mid-market AP team?

AvidXchange is the deeper option if you are in construction, real estate or property management and still pay a meaningful share of suppliers by check. It has an established supplier network and vertical-specific integrations with systems like Yardi and MRI. Quadient AP, inherited from Beanworks, is broader and lighter, and its integration list leans toward general accounting platforms plus a few verticals such as Rent Manager and Jonas Construction.

Does Quadient AP integrate with QuickBooks?

Yes. Quadient AP lists native integrations with QuickBooks Online, QuickBooks Online Advanced, Xero, NetSuite, Sage Intacct, Sage 50, Sage 300, Rent Manager and Jonas Construction. That native two-way sync is genuinely one of the platform's strengths and it is the main reason an existing Beanworks customer would stay rather than move.

This is also where we will be plain about our own product. AutoPayables does not have a live accounting sync. QuickBooks, Xero and NetSuite connections are on our roadmap and are not built. Data leaves AutoPayables through our REST API on the Scale plan, and there is no one-click export. If a native ERP connector is a hard requirement for you today, Quadient AP is the better product for that requirement and you should not pick us on that axis.

There is nothing to migrate off, strictly speaking, because Beanworks accounts became Quadient AP accounts. The real question most people are asking is how to leave Quadient AP. Three things to settle before you sign anywhere else. First, export your vendor master, including tax IDs, 1099 status and payment terms, since rebuilding that by hand is the slowest part of any AP migration. Second, confirm how far back your invoice images and approval history can be extracted, because audit and 1099 obligations outlive the contract. Third, check the notice period in your current agreement, since annual AP contracts commonly auto-renew.

Then run a real test rather than a demo. Take twenty of your genuinely messy invoices, the ones with bad scans, odd line item layouts and vendors whose names never parse, and put them through each shortlisted platform. Accuracy on a vendor's curated sample tells you very little.
