What Ottimate actually costs

Ottimate does not publish a price. Its own pricing URL returns a 404, and every route on the site ends at a Book a Demo form. That is not an oversight, it is the sales model: Ottimate quotes each account after a discovery call, and the number depends on how many invoices you push through and how many locations you run.

The two directories that track the product agree. Capterra lists Ottimate's starting price as Not available, free trial Not available, and free version Not available, with the pricing model recorded as Usage Based, Per Month. GetApp shows the same three plans with No pricing info against each one. Both list the tiers by name: Essential, Enhanced, and Enterprise, each carrying a custom quote rather than a rate card.

You will find third-party estimates. SelectHub, for example, publishes a broad $100 to $500 range for the category listing. Treat that as a directory estimate, not an Ottimate figure. Ottimate has never published a number, so anyone quoting one precisely is guessing or repeating a single customer's contract.

How is Ottimate priced?

Ottimate is priced per month on usage, which in practice means invoice volume and location count, with the plan tier setting which capabilities are switched on. Users are not the primary meter the way they are at BILL, where you pay per seat. That matters if you have twenty approvers touching a few hundred invoices, because a per-seat vendor punishes that shape and a volume-priced vendor does not.

Three things move an Ottimate quote:

  • Invoice volume per month. The usage meter. Ottimate says it handles more than 40 million invoices a year across 30,000 plus locations in the United States, so it is built for the high end of this range.
  • Locations and entities. Multi-unit operators are the core market. More locations means more coding rules, more approvers, and a higher tier.
  • Payments. VendorPay covers virtual card, ACH, and check. Virtual card rebates are commonly used to offset part of the subscription, which is why quotes vary so widely between two companies with similar invoice counts.

That last point is the one buyers miss. If a rep frames the price as "effectively free after rebates," ask what share of your vendors actually accept virtual cards. In most restaurant and hospitality portfolios it is a minority, and the rebate math collapses if your large suppliers insist on ACH or check.

Does Ottimate have a free trial?

No. Capterra and GetApp both record Ottimate as having no free trial and no free version. The only way to see the product is a scheduled demo with a sales representative, which means you cannot test extraction accuracy on your own invoices before you are in a sales process. That is normal for quote-only AP vendors and it is the single biggest practical difference between this tier of the market and the self-serve tier.

Is Ottimate the same as Plate IQ?

Yes. Ottimate is the renamed Plate IQ, which is why Capterra and GetApp still file the product under the Plate IQ URL and why older reviews and contracts use the original name. If you are comparing quotes across a few years of research, or reading reviews that predate the rename, they describe the same product line.

One caveat worth knowing before you negotiate: Tipalti's own Acumatica blog post says the platform "starts at $129 per month," which conflicts with the $99 Select figure on its pricing page. Both numbers come from Tipalti. Quote both when you compare, and make any vendor confirm the current rate in writing.

Credit where it is earned. Ottimate captures header, footer, and line item detail and claims 98% accuracy "even if it's handwritten," which is a meaningful claim in an industry where handwritten delivery slips and produce invoices are routine. It reports processing 120,000 plus invoice pages daily and onboarding roughly 500 new vendors a day, and it publishes an average of 1,000 hours saved per customer per year.

It integrates with QuickBooks, NetSuite, Acumatica, Sage Intacct, and Microsoft Dynamics, and it sells into hospitality (restaurants, hotels, resorts, senior living), retail and grocery, healthcare including assisted care and dental and physician practice networks, accounting firms, construction, and manufacturing. If you run a multi-unit restaurant group with heavy line item coding, Ottimate is a legitimate shortlist entry and you should get the quote.

  • Is the contract annual or multi year, and what is the uplift at renewal?
  • What happens to the price if my invoice volume grows 30% mid term?

Get the answer to the first one in writing before you evaluate anything else. A quote-only vendor's first number is rarely its last, and the rebate framing makes it easy to agree to a subscription you have not actually compared.
