Short answer: Tipalti is the stronger choice when your payables cross borders, entities or currencies, because it pays into 200+ countries in 120 currencies with tax and sanctions screening built in, and it publishes a starting price of $99 a month. Ottimate is the stronger choice when you run many US locations of the same business (restaurants, hotels, senior living, dental or physician groups) and the hard part is coding hundreds of line items per invoice, not moving money abroad. Ottimate publishes no price at all.

Which is better for AP workflow automation, Ottimate or Tipalti?
For pure workflow (capture, code, route, approve) the two are closer than their marketing suggests, and the deciding factor is the shape of your invoices rather than the feature list. Ottimate is built around invoices with a lot of lines: a food distributor bill with ninety items that has to hit ninety different GL codes across four properties. It claims 98% accuracy across formats, including handwritten documents, and its whole customer list (restaurants, hotels, resorts and casinos, country clubs, senior living, grocery, retail, dental and physician practice networks) is made of businesses with exactly that problem.
Tipalti approaches workflow from the supplier side. Its strongest workflow features are the ones that happen before an invoice exists: supplier self-onboarding through a portal, tax form collection, sanctions screening, and then two and three-way PO matching once invoices start arriving. If your AP pain is fifty suppliers you have never met in eleven countries, that front end saves more hours than any capture engine will.
The honest read: if you would describe your problem as "coding", look at Ottimate first. If you would describe it as "onboarding and paying suppliers", look at Tipalti first.
How does Ottimate compare to Tipalti for approval workflows?
Both route invoices for approval and both support multi-step routing. The meaningful difference is what the routing keys off. Ottimate's model is location-first, which is why it appears in searches about multi-location approval workflows: an invoice belongs to a property, the property has an approver, and the approval hierarchy mirrors an operating structure of many similar sites. Tipalti's model is entity and amount first, built for a company with subsidiaries, multiple currencies and thresholds that differ by legal entity.
Neither vendor publishes the full configuration detail, so this is the question to take into a demo with your own org chart in hand. Ask each of them to build your actual approval matrix live on the call rather than describing it. The gap between "we support multi-level approvals" and "we support your multi-level approvals" is where AP implementations go wrong.
What does Ottimate cost per month?
Ottimate does not say. There is no pricing page on ottimate.com, the primary call to action across the site is "Book a Demo", and Capterra lists the starting price as not available, with no free trial and no free version, across three tiers (Essential, Enhanced, Enterprise) all marked custom quote. Any per-month figure you find in a directory or a roundup is that directory's estimate, not an Ottimate number, and should not go in your budget.
Tipalti at least gives you a floor. Its pricing page publishes $99 a month as a starting point for accounts payable and $249 a month for Mass Payments, with unlimited users, and states plainly that transaction pricing sits on top. Cost is driven by the number of payments, the number of legal entities, which modules you enable, and which global payment methods and currencies you turn on. That is enough to build a rough model before you speak to anyone, which is more than Ottimate gives you.
Which is better for healthcare or multi-location AP, Ottimate or Tipalti?
For a dental or physician practice network, Ottimate is the more natural fit on paper: it names dental practice networks and physician practice networks as target industries, its accuracy claim covers the messy supplier invoices those groups receive, and its approval model is built around many locations of one business. Tipalti's global payment rail and tax compliance engine are largely irrelevant to a group paying US dental suppliers in dollars, and you would be paying for infrastructure you never switch on.
That flips the moment the group has foreign suppliers, contractor payouts, or multiple legal entities that need separate tax treatment. At that point Tipalti's supplier onboarding, IRS and DAC7 handling and sanctions screening stop being overhead and start being the reason to buy.
What both of them cost you that the pricing page does not show
Three costs show up in this category after signature rather than before, and they apply to both vendors.
- Transaction fees on top of subscription. Tipalti states this openly. Ottimate's model is not published, so ask specifically what a payment costs, per method, at your volume.
- Implementation and onboarding. Usually a separate, usually non-refundable line, and frequently the biggest number in year one. Get it quoted before you compare monthly rates.
- The contract term itself. Neither vendor publishes an initial term, a renewal term or a notice period. That is normal for quote-only software and it is also the clause that costs the most when it is missed. If you are building the business case anyway, the month-end reporting side is worth scoping at the same time. Once coded invoice data is flowing cleanly, turning a bookkeeping export into board-ready financial statements stops being a manual exercise, and the AP project starts paying for itself in two places rather than one.
How to run the evaluation
Take twenty of your own invoices to each demo: the longest one, the handwritten one, the one with a credit note against it, the one from the vendor whose format changes every quarter, and the one that has to be split across four cost centres. Ask each vendor to process those twenty live. Capture accuracy on marketing pages is measured on someone else's documents.
Then ask three questions that are rarely answered on a website. What does a payment cost, by method, at our volume? What is the initial term, the renewal term and the notice period? And how do invoice images, coding history and the approval audit trail come out if we leave in two years? Vendors that answer all three quickly and in writing are usually the ones that are pleasant to buy from.
If your answer to both demos is that the platform is bigger than the problem, the third option is a tool priced and scoped for the work you actually have. The verdict
Pick Tipalti if any of the following are true: you pay suppliers outside the US, you run more than one legal entity, you need two or three-way PO matching, or you want a published starting price you can budget against today. Pick Ottimate if you run many US locations of a single operating business, your invoices carry dozens of lines that need individual GL codes, and your industry appears on its customer list. Pick neither if your payables are domestic, single entity and under a few thousand invoices a year, because both platforms are priced and built for a heavier problem than that.
