Short answer: $2,000 a month ($24,000 a year) is enough to automate accounts payable with a real accounting sync at almost any mid-market invoice volume, but only six vendors publish prices that let you confirm that from your desk: BILL, Ramp, Melio, Tipalti, Yooz (model only) and AutoPayables. The catch is the ERP. BILL's published plans sync only QuickBooks and Xero, and its NetSuite, Sage Intacct and Microsoft Dynamics sync sits on a custom-priced Enterprise tier. If you run QuickBooks or Xero, you can stay far under budget. If you run NetSuite or Sage Intacct, the list of tools with a published price and a named sync gets short quickly.
AP automation software under $2,000 a month compared
| Vendor | Published price | What $2,000 a month buys | ERP and accounting sync at that price |
|---|---|---|---|
| AutoPayables | $49 a month for 200 invoices, $149 a month for unlimited | Unlimited invoices, with $1,851 left over | QuickBooks Online, Xero, NetSuite and Sage sync on both paid plans. REST API on the $149 plan |
| BILL | $49, $65 or $89 per user per month. Enterprise is custom | 22 users on Corporate, before payment fees | Essentials is CSV import and export only. Team and Corporate sync QuickBooks and Xero. NetSuite, Sage Intacct, Dynamics and Acumatica sync is Enterprise only |
| Ramp | Free, or Plus at $15 per user per month plus a platform fee. Enterprise is custom | A large team on Plus | States 200+ direct integrations. No native construction ERP connector, where it falls back to CSV exports |
| Melio | $0, $25, $55 or $80 a month. Platinum is custom | The top published plan many times over | Built around QuickBooks and Xero. Not aimed at mid-market ERPs |
| Tipalti | From $99 a month for AP, plus transaction fees per invoice and payment | Depends on payment count and legal entities | Lists NetSuite, Sage Intacct, QuickBooks, Microsoft Dynamics and SAP. States that API-based or custom integrations may cost extra |
| Yooz | No plan price. Billed on document volume, unlimited users | Unknown until quoted | States 250+ financial systems, including NetSuite, Acumatica, Sage Intacct and Dynamics 365 |
| Stampli, Quadient AP, Medius, AvidXchange, Ottimate, Coupa | Do not publish list pricing | Unknown until quoted | Broad ERP coverage, each connector worth checking individually |
Prices are from each vendor's own pricing page in October 2026. Payment fees, implementation and extra entities are not included in the middle column, and those are where a budget usually breaks.
Which AP automation software offers the best ERP integration for under $2,000 monthly?
It depends on which ERP you run, because the best integration is the one that exists for your system at the tier you can afford. For QuickBooks Online or Xero, BILL Team, Melio and AutoPayables all sync automatically for well under $500 a month. For NetSuite or Sage, AutoPayables includes the sync on its $49 and $149 plans, Tipalti lists both from $99 a month plus transaction fees, and BILL requires a custom Enterprise quote.
That last point surprises a lot of buyers. BILL's pricing page lists automatic two-way sync with QuickBooks Online, Pro, Premier and Xero on the $65 and $89 tiers, and reserves QuickBooks Enterprise, Oracle NetSuite, Sage Intacct and Microsoft Dynamics for Enterprise. For any ERP outside its network, the stated fallback is "manual CSV import/export". So a NetSuite shop pricing BILL at $89 a user is pricing a product that will not sync to its ledger at that tier.
What $2,000 a month actually has to cover
The subscription is one of five lines. When a vendor says it fits your budget, check which of these it has counted.
- Platform or seat fees. The number on the pricing page.
- Per-payment fees. BILL publishes $0.59 per ACH and $1.99 per mailed check. At 600 payments a month split evenly, that is roughly $775 a month on top of seats.
- Per-document fees. Volume-priced tools charge for each invoice read. ERP Research reports Yooz from $1.99 per document, falling toward $1.00 at volume. Yooz does not print that rate on its own pricing page, so treat it as a directory figure.
- Extra entities. Tipalti names the number of legal entities as a cost driver. A three-entity group should get that priced in writing.
- Implementation. Often quoted separately by the enterprise vendors. Tipalti says standard implementations are included and complex ones may need paid professional services.
A flat plan removes lines two through four. That is the argument for it, and you can see the trade-offs in our comparison of AP automation with no transaction fees.
A worked example at 500 invoices and 12 users
Take a company with 500 supplier invoices a month, 12 people who touch AP (two clerks, a controller and nine approvers), and 400 payments a month, three quarters by ACH.
| Vendor | Monthly math | Estimated monthly cost |
|---|---|---|
| AutoPayables Scale | $149 flat, unlimited invoices, no per-user or per-payment fee | $149 |
| BILL Corporate | 12 users at $89, plus 300 ACH at $0.59, plus 100 checks at $1.99 | About $1,444 |
| BILL Team | 12 users at $65, plus the same payment fees | About $1,156 |
| Tipalti | From $99 platform fee, plus transaction fees that are not published | Cannot be computed from public data |
| Yooz | 500 documents at the $1.99 directory figure | About $995, unverified |
Every option fits under $2,000. The spread between them is $1,300 a month, or $15,600 a year, for the same invoices. On BILL the cost is driven by headcount: nine occasional approvers account for $801 of the Corporate figure. If most of your users only approve, look hard at tools that do not meter seats. Our Bill.com pricing breakdown walks through that math in more detail.
How to judge an ERP integration before you pay for it
"Integrates with NetSuite" covers at least four different mechanisms, and they are not equally good.
- Live API sync. Bills, vendors and payments post through the ERP's API, usually within minutes. This is what most buyers assume they are getting.
- File exchange. The tool writes a file that the ERP imports on a schedule. It works, but coding and PO data can be hours stale.
- Bridge service. A small service installed next to an on-premises ERP that relays data out. Common with older Sage products.
- Embedded. The tool installs inside the ERP, so nothing needs to sync.
The same vendor often uses different mechanisms for different ERPs, so a great QuickBooks connector tells you nothing about the Sage one. Ask three things: which mechanism is used for my exact ERP edition, which objects sync in each direction (vendors, GL accounts, bills, payments), and how often. The AP automation integrations checklist has the full list. Before you add a new line to the software budget, it is also worth a look at what your existing SaaS subscriptions already cost, because AP tools are frequently bought to replace two or three smaller ones that nobody cancels.
What AutoPayables includes for $49 or $149 a month
AutoPayables is built for the buyer in this article: a finance team that wants AP automation and a ledger sync for a known, small monthly number. Growth is $49 a month for 200 invoices. Scale is $149 a month for unlimited invoices and adds API access and dedicated onboarding. Yearly billing is $288 and $888.

Which tool for which ERP
| Your system | Published-price options with a sync | Notes |
|---|---|---|
| QuickBooks Online | AutoPayables, BILL Team or Corporate, Melio, Ramp | The most competitive tier. Compare on per-user and per-payment fees. See QuickBooks accounts payable automation |
| Xero | AutoPayables, BILL Team or Corporate, Melio | Same logic as QuickBooks |
| NetSuite | AutoPayables, Tipalti | BILL needs Enterprise. Most other NetSuite tools are quote only. See AP automation software for NetSuite |
| Sage Intacct | Tipalti | Stampli is the common quote-only choice here |
| Dynamics 365 Business Central | Tipalti | Continia and Stampli are quote only |
| Acumatica | None with a full published price | Yooz and Ottimate list it, both quote only. BILL lists it on Enterprise |
Is $2,000 a month a reasonable AP automation budget?
Yes, for most companies under about 2,000 invoices a month it is more than enough, and many will spend under a tenth of it. The budget becomes tight in three situations: you need a vendor to execute international payments, you need approval chains that differ by department, entity and role, or you have many legal entities on a tool that charges for each. In those cases get the entity and transaction fees in writing first.
What is the cheapest AP software with accounting sync?
Among vendors that publish prices, Melio's $0 plan and Ramp's free tier cost the least and suit a very small QuickBooks or Xero business that mainly wants to pay bills. For AI invoice capture with line-level coding and a ledger sync, AutoPayables at $49 a month for 200 invoices is the lowest published price that is not metered per user or per payment. BILL starts at $49 per user, but that tier has CSV import and export only.
Stop keying invoices by hand
AutoPayables captures vendor, amounts and dates from any invoice with AI, applies spend-threshold approval, and keeps a full audit trail. Accounting sync pushes approved bills to your general ledger.
