Try it now, capture a real invoice

Short answer: before buying nonprofit accounts payable software, settle five things: how invoices get in, how a single invoice is split across program and admin accounts, how duplicates are caught, who approves what, and whether you need fund accounting inside AP or only coded bills sent to your ledger. Most small and mid-size nonprofits on QuickBooks Online need the second kind, and can use a general tool such as AutoPayables for nonprofits.
1. How do invoices get in?
Ask whether the tool reads invoices forwarded by email, uploaded PDFs, or both, and whether it pulls line items or only totals. Header-only capture saves little, because the work you want to remove is coding lines. Ask to run ten of your own real invoices, including the ugly ones from small vendors with handwritten or scanned pages, and watch which fields come back flagged.
2. How does one invoice get split across programs?
Nonprofits report functional expenses, so a shared software or insurance bill often has to land in program, management and fundraising categories. The tool should let you code each line separately and carry that coding into the export. If it only assigns one account per invoice, your bookkeeper will fix it by hand in the ledger, which defeats the purchase.
3. How are duplicates caught?
Vendors resend invoices and staff forward the same PDF twice. Ask which fields are compared. A check on invoice number alone misses a vendor that changes the number on the reminder. Good coverage compares file content, vendor plus invoice number, and vendor plus amount plus date.
4. Who approves, and is it recorded?
Auditors ask who approved a payment, and when. A dollar threshold with a saved approver and timestamp is enough for many organizations. Per-department and per-grant routing is a different product class and a higher price. Decide which you actually need before sitting through a demo.
5. Do you need fund accounting in AP?
If restrictions and grant drawdowns are tracked in the ledger, your AP tool only has to hand over clean coded bills. Buying a full fund accounting suite to fix invoice typing is expensive for what it solves. If your funders demand encumbrances or budget checks at purchase, though, you need the suite.
| Question | Good answer | Red flag |
|---|---|---|
| Line-item capture | Lines read and editable | Totals only |
| Splits | GL account per line | One account per invoice |
| Duplicates | Multiple fields compared | Invoice number only |
| Approvals | Threshold plus log | No record kept |
| Pricing | Published, flat | Per user and per module, quote only |
Mistakes nonprofits make when buying AP software
The first is buying for the audit that happens once a year instead of the invoice pile that arrives every week. A tool can have a beautiful audit report and still leave your bookkeeper typing. Judge it by the minutes it takes to get a messy vendor invoice from inbox to coded bill.
The second is paying for approval depth nobody uses. A five-level approval chain sounds safe, but a team of three people needs one threshold and a clear record. Extra routing only adds waiting time and a larger bill.
The third is ignoring the people who forward invoices. Program managers will not log into another system to upload files. If sending a PDF to one email address is not enough for them, invoices will keep arriving in personal inboxes and the tool will hold a fraction of your real spend.
The fourth is skipping the export test. Every ledger imports bills slightly differently, with its own handling of line items, classes and tax. Import one batch into a test company file before committing, and check that the program and admin splits survive the trip.
Questions to ask on the demo call
- Can I forward an invoice to an address and see the coded draft without logging in to upload it?
- When two lines on the same invoice belong to different accounts, does the export keep both?
- Which exact fields does the duplicate check compare?
- Is the approver's name and time stored on the bill itself?
- What does a month at my invoice volume cost, in total, with no add-ons?
- Which ledgers have a ready export layout, and which need a manual mapping?
A vendor that answers these with specifics and lets you test your own files is usually the one worth paying. A vendor that moves every answer to a follow-up proposal is telling you how the buying process will go.
6. What will it cost?
Get a number for your volume. AutoPayables publishes $49 per month for 200 invoices with no per-user fee. Many larger platforms quote by module and seat, and the total only appears after a sales call. Compare on your own invoice count, not on the feature list.
7. What happens at 1099 time?
If you pay consultants, the tool should total payments by payment date, leave out card payments, flag missing TINs and export a file for your filing service. See how 1099 vendor tracking software handles this before relying on a spreadsheet.
A practical way to run the trial
Take one month of invoices from your shared inbox, including a few you know were paid twice. Load them, time how long coding takes, and export the batch into a QuickBooks Online test company. Once the bills are approved and imported, the bank side is the next manual job, and a bank statement to QBO converter such as turning your bank statements into QuickBooks files removes the matching work that follows. If the trial saves your bookkeeper two days a month, the decision is easy.
Where AutoPayables fits, and where it does not
AutoPayables reads invoices, codes lines, checks duplicates, holds bills over a threshold for approval, tracks 1099 vendors and exports to QuickBooks Online, Xero, NetSuite or Sage. It does not manage fund restrictions or grant budgets. If that is a hard requirement, shortlist fund accounting suites and ask whether they accept coded bills from a front-end tool. If not, start with the nonprofit AP automation page and run your own invoices through it.
Stop keying invoices by hand
AutoPayables captures vendor, amounts and dates from any invoice with AI, applies spend-threshold approval, and keeps a full audit trail. Accounting sync pushes approved bills to your general ledger.
