Vic.ai does not publish a price list. Its pricing page is a demo request form. The one public number comes from Vic.ai's own listing on AWS Marketplace, where the Vic.ai AP Module is sold as a 12 month contract for $25,000, with $2.00 charged for every invoice above the contracted annual volume. Software directory SaaSworthy separately lists an Accounting Platform Package for accounting firms at $1,490 a month plus per transaction fees.

That puts Vic.ai in enterprise territory before you add implementation or ERP work. Below is what the published figures cover, what they leave out, what a mid-market team should expect to pay, and when a flat priced tool is the better buy. Treat the directory figure with care. SaaSworthy's numbers are not dated on a Vic.ai page and may reflect an older package. The AWS listing is the stronger signal because the seller is Vic.ai and a buyer can actually contract at that price.

How much does Vic.ai cost per year?

Expect at least $25,000 a year for the AP Module, before overage. That is the 12 month contract Vic.ai lists on AWS Marketplace. The listing does not state how many invoices the $25,000 covers, only that anything above the agreed annual volume costs $2.00 per invoice. A unit is "a single vendor bill the platform ingests and processes", PO or non-PO, header plus line items.

The missing piece is the included volume. Without it you cannot work out your effective per invoice cost from the listing alone, which is why every serious Vic.ai evaluation still ends in a sales conversation. Ask three things on that call: how many invoices the base commitment includes, whether credit memos and duplicates count as units, and whether unused volume rolls over.

What the AP Module includes

According to the AWS listing, the AP Module takes invoices "from email, upload, or integration, then extracts and codes header and line-item data. It supports PO matching, approval routing, and audit tracking." Vic.ai describes itself as an AI-native accounting platform and has claimed 85% no-touch processing by month six and 99% accuracy. Its pricing page headline promises to "save 70% of your team's time."

Those are vendor claims, and the depth is real. Vic.ai learns coding from your history across a high volume of invoices, and the firm package adds a separate inbox per client, unlimited users and white labeling. That is what the $25,000 floor buys: autonomy at scale, aimed at teams processing tens of thousands of invoices a year or firms running AP for many clients.

What Vic.ai costs at real invoice volumes

Here is the published floor next to two flat priced plans. Vic.ai figures assume your volume fits inside the base commitment, which only a quote will confirm.

The pattern is plain. Below a few thousand invoices a month, a $25,000 minimum is hard to justify on cost per invoice alone. At high volume the per invoice math gets better for Vic.ai, and the question becomes whether you need its autonomous coding and enterprise integrations, or whether capture, coding suggestions, PO matching and approvals already cover the job.

Is Vic.ai worth it for a mid-market AP team?

It is worth it when invoice volume is high, coding is complex and labor is your largest AP cost. A team keying 4,000 multi line invoices a month across several entities can save more in hours than the contract costs. Vic.ai also fits accounting firms, where one platform fee spreads across many client books.

It is harder to justify when you process a few hundred invoices a month, run one entity on QuickBooks, Xero or NetSuite, and mainly need bills captured, coded and approved before a payment run. That buyer is paying for autonomy they will not use. For them, published pricing matters as much as accuracy, because the budget conversation happens before any demo.

Where Vic.ai is stronger, honestly

  • Approval routing. Vic.ai supports approval routing. AutoPayables uses one dollar threshold: bills under it approve automatically, bills above it go to an approver, with every action logged. If you need multi level or department routing, Vic.ai is the better fit.

Cheaper options if Vic.ai is out of budget
